Recipient Mailing (Physical Copies)
Forms submitted through Yearli will be printed and mailed to recipients in one to three business days from recipient of the forms, as long as recipient reporting is selected during the filing recommendations stage of e-file. Recipient mailing is enabled by default. Recipients can expect to begin receiving forms in 3 to 14 business days from the date of mailing and will be delivered by standard U.S. mail. To view the current mailing status of an order, please do the following:
- Log in to Yearli.
- Click E-File History.
- Select View Details next to the batch that contains the forms you wish to check the status of.
- The date your forms were mailed will be displayed, as well as the recipient filing mailed status.
If a form is undeliverable to the recipient's address, the form will be returned to the payer's address.
International Mailing of Recipient Forms
Yearli's Recipient Print and Mail service is available for forms with a foreign mailing address. An additional $1.00 foreign postage fee will be applied to each recipient form with a foreign address.
The Yearli Mailing Schedule Is as Follows

From January 1 - 27
- Forms received by 4pm EST on 1/27 will be mailed within three business days of receipt.

From January 28 - February 1
- Forms received by 6pm EST on 2/1 will be postmarked guaranteed no later than February 2.

February 2 (Deadline Day)
- Forms received by 8pm EST will be postmarked same day.

From February 3 - February 25
- Forms received by 4pm EST on 2/25 will be mailed within three business days of receipt.

From February 26 - March 1
- Forms received by 8pm EST on 3/1 will be postmarked guaranteed no later than March 2.

March 2 (Deadline Day)
- Forms received by 8pm EST will be postmarked same day.

From March 3 - March 6
- Forms received by 4pm EST 3/6 will be mailed within three business days of receipt.

Beginning March 7
- Forms will be processed for printing at 10am EST on Monday and Thursday mornings. The forms are then postmarked within three days of processing.
Recipients should receive their forms within 3-14 business days after the mailed date shown, depending on the US Post Office delivery. Greatland does have a commitment of prompt delivery of all of our print and mail services, however, final delivery is based on USPS service levels. Because of this, please expect an additional 1-3 days for final delivery. Forms with an international address may experience longer delivery times. Online Retrieval (E-mail Recipient Copies)
Online Retrieval is a service offered by Yearli that allows a recipient to log into a secure website to obtain a copy of their W-2, 1099, or 1095 form. This feature is available only when selecting a filing service that includes Recipient Print & Mail.
You can enter the email address of the recipient on the form data entry screen. The Online Retrieval service is optional so the recipient email address is not a required field and you are not required to provide an email address for all recipients.
Online retrieval is only an option when Recipient Print & Mail service is enabled. This means your recipient will get a physical copy as well as the email copy. It is not possible to suppress the printing service and send a copy via email only, but if you leave the email address out of the form, it is possible to send only the physical mailing and not the email.
What Your Recipient(s) Will Experience
Shortly after the forms have been submitted, your recipient(s) will receive an email with the subject line of "IMPORTANT TAX RETURN DOCUMENT AVAILABLE" from the following email sender: Online Form Retrieval <mail@onlineformretrieval.com>. The body of the email will explain that you, the payer, have created a form for that recipient. Below is a sample of the email:
A link is contained in the body of the email for the recipient to click on and they will be brought to the Online Form Retrieval log-in screen.
For security reasons, the recipient will be prompted to enter the last four digits of their SSN/TIN in order to access their wage form. The recipient will be able to view their form on the screen or they may choose to immediately print and/or save a .pdf copy of their form.
How to Resend a Recipient a Form After Submission
You can send/resend an email to a recipient to retrieve a copy of their submitted form any time by adding or editing their email address in E-File History. To resend a form to your recipient(s), follow the steps below.
- Log in to Yearli.
- Click on E-File History.
- Locate the submission and click on View Detail.
- Click Resend Online Retrieval Emails.
- Select the Recipient.
- Enter or edit the email address listed and click the Resend button.
After clicking the Resend button, a confirmation window will display letting you know that the message has been sent to the email address entered. You can send recipient emails at any time after a form has been submitted and as many times as needed for no fee.
