QuickBooks Desktop - Setup, Importing, and Common Errors

Requirements for Importing from QuickBooks Desktop

  • The Export Wizard for QuickBooks requires the use of .NET Framework.
  • Make sure your internet pop-up blocker is set to allow pop-ups from the Yearli website.
  • The state ID data is not stored with your wage reporting data in QuickBooks and is not available to the Export Wizard. This requires it to be entered during the import process.
  • The data from the Third Party Sick Pay and Pension Plans checkboxes is not stored with your wage reporting data in QuickBooks and is not available to the Export Wizard. This requires it to be entered during the import process.
  • The Wizard is designed for use with the 2018 or more recent versions of QuickBooks Pro, Premier, or Enterprise software.
  • The QuickBooks import option is not compatible with Macs.

Setting Up QuickBooks Desktop For Importing

To set up QuickBooks permissions:

  1. Open QuickBooks and the desired company file.
  2. Click on the Edit menu and select Preferences.
  3. Select the Company Preferences tab.
  4. Click on the Integrated Applications link from the menu on the left.
    • A list of applications will display in the center.
  5. Highlight Export Wizard and click on the Properties button.
  6. Put a check in the following boxes:
    • Allow this application to read and modify this company file.
    • Allow this application to access Social Security Numbers, customer credit card information, and other personal data.
  7. Click Ok on the Properties and Preferences windows.
  8. Open the import utility and try importing again.

Mapping Custom Fields

The Export Wizard will display special mapping screens that you can use to direct it how to handle your custom fields. The only items you need to map are the custom fields. Please use the following steps to do the mapping.

Map 1099-MISC Information During Import

  1. Select a 1099-MISC box type that corresponds to the displayed General Ledger Account (QuickBooks GL Account).
  2. Click on the Next or Finish button.

Importing 1099-NEC or 1099-MISC Data from QuickBooks Desktop

To import your data from the desktop version of QuickBooks, you will first export the information out of QuickBooks and then import it into Yearli using the Excel import template.

  1. Log into your Yearli account.
  2. Select Start New Forms.
  3. Choose Import Data.
  4. Select the QuickBooks option.
  5. Choose the Desktop version of QuickBooks.
  6. Select the link to Begin QuickBooks Desktop Data Export.
  7. Install the Export Wizard.
  8. Run the Export Wizard to create the Excel import file.
    1. Go to the Start Menu.
    2. Select All Programs.
    3. Choose Export Wizard.
    4. Follow the on-screen steps to map your 1099-NEC 1099-MISC data to create and save the Excel import file.
  9. Log into your Yearli account.
  10. Select Start Forms.
  11. Select Import Data.
  12. Choose the Yearli option.
  13. Select the 1099-NEC or 1099-MISC form type, depending on the data you wish to import.
  14. Choose Browse for File to find and select the Excel file created by the Export Wizard.

Export Cannot Continue When Using the Export Wizard for QuickBooks Desktop

The error can occur because of the following reasons:

  • A company file is not open in QuickBooks.
  • QuickBooks is open with a company selected, but the company home page is not displayed.
  • The user does not have administrative rights for QuickBooks.
  • The "Don't allow any applications to access this company file" checkbox is checked.

Open the Company Home Page

  1. Verify that QuickBooks is open and that a company is selected.
  2. Open the company home page.
  3. Run the Export Wizard.

Check the Export Wizard Access Rights

  1. Go to the Edit menu in QuickBooks.
  2. Select Preferences.
  3. Click on the Company Preferences tab.
  4. Select Integrated Applications on the left.
  5. Select the Export Wizard.
  6. Click Properties
  7. Check the following boxes on the Access Rights tab:
    • Allow this application to read and modify this company file.
    • Allow this application to access Social Security Numbers, customer credit card information, and other personal data.
  8. Run the Export Wizard.

Verify User's Access Rights for QuickBooks

Talk to your QuickBooks administrator to verify that you have the necessary rights to do the export of the QuickBooks data.
