To use the Workday Integration, there are some setup/configuration steps that need to be completed.
Note: Workday Admin rights are required for some of these steps. You may need to have your IS/IT department or Workday if you do not have admin rights in Workday.
Getting Started
- Log in to your Yearli account.
- Select Import Forms/Templates.
- Select Workday.
- Follow the steps below to register your API through Workday.
- After registering the API Client, you will need to set up a new User Based Security Group specifically for the integration.
Registering the API Client on Workday
API Client Search
- Log in to your Workday account.
- Search for and select "Register API Client" from the search menu.
Register API Client page
Enter the following information exactly as shown below in the "Register API Client" page:
- Client Name: Yearli
- Client Grant Type: Authorization Code Grant
- Access Token Type: Bearer
- Redirection URI: https://yearliapp.greatland.com/data-bridges/api-redirect
- Scope (Functional Areas): Select these areas - Benefits, Common Financial Management, Financial Accounting, Integration, Staffing, and USA Payroll
- All other fields on this page can be left as-is
Click OK to continue.
Leave the "Register API Client" page open in Workday as you will need to enter information from this page into Yearli.
Connecting Yearli to Workday
In another tab/browser, log in to your Yearli account and copy the following information from the Workday Register API Client page:
- Tenant (found in the left area of the top bar of Workday)
- Client ID
- Authorization Endpoint
- Server URL (Workday REST API Endpoint)
- Client Secret
- Token Endpoint
In Yearli, click "Connect to Workday".
Click Allow to allow Yearli access
Next you will setup a new user with the correct security access in Workday.
User Group Setup
- If filing W-2s - Run the Create W-2 Data task prior to importing W-2 forms.
- If filing 1095s - Run the Create ACA 1095-C/1094-C Data task prior to importing 1095-C forms.
- For either task, if data was already created and needs to be updated, run the cancel version of the task (for W-2s - Cancel W-2 Data and for 1095s - Delete ACA 1095-C/1094-C Data) and then repeat the Create version.
User-Based Security Group Setup
- Search and select the "Create Security Group" task
- Select User-Based Security Group from the Type of Tenanted Security Group drop-down list
- Enter a name in the Name field. Examples:
- UBSG_Yearli
- UBSG_Yearli_W2
- UBSG_Yearli_ACA
- Click OK. You will be brought to the Edit User-Based Security Group task.
- Click OK.
- Click the ellipsis to the right of UBSG_Yearli in the top bar.
- Hover over User-Based Security Group.
- Click Assign Users.
- Search for the users you want to add to the group.
- Once all the necessary users are added, click OK. Note: Do NOT click Done.
- Click the ellipsis to the right of UBSG_Yearli.
- Hover over Security Group.
- Click Maintain Domain Permissions for Security Group.
- In the Domain Security Policies permitting Get access line, search for and add the following Security Policies.
- Set Up: Company General
- Worker Data: Public Worker Reports
- Process: Tax Filing/W-2s (Run) – USA
- Process: ACA Tax Filing 1094-C/1095-C – USA
- Process: ACA Tax Filing 1094-C/1095-C (Run) - USA
- Manage: ACA Partner Integrations
- Person Data: ID Information
- Click OK.
- Click Done.
- Search for Manage: ACA Partner Integrations and select it.
- Click the ellipsis next to Domain Security Policy.
- Hover over Domain Security Policy.
- If Disable is listed, nothing needs to be done; proceed to step 22.
- If Enable is listed, select Enable.
- Click the Confirm checkbox.
- Click OK.
- Search for Edit ACA 1094-C Company Configuration and select it.
- Find the company, select it, and click OK.
- Check the External Federal ACA Transmission check box.
- Click OK.
- Click Done.
- Search for Activate Pending Security Policy Changes and enter change notes.
- Click Confirm checkbox and then OK.
- Search for View Security Group.
- In the dialog that displays, select User-Based Security Group.
- Find and select the user group created earlier. Example: UBSG_Yearli.
- Click OK.
- Verify the correct domain policies are in place based on step 14.
- If any are missing, follow steps 9-14 and 27-29 to add them.
- Close and reopen your browser.
- Log back into Yearli and go to the Workday import.
